We Take Privacy Seriously

At Noteless, we prioritize the security and privacy of both you and your patients. As such, we do not store audio or use patient data to train our models or for any other purposes.

How We Protect Our Users

Our system integrates a range of security measures and protocols to ensure that personal data and health information are handled with the utmost security.

Real-Time Transcription

Noteless transcribes audio in real-time using a GDPR-compliant speech-to-text API. During this process, small audio segments are temporarily stored in short-term memory, and no audio data is retained. As a result, there never exists a full recording of the consultation. Only individual audio fragments are processed and immediately discarded. All data handled by Noteless is encrypted to ensure maximum protection.

Your Data

Neither Noteless nor any third parties use your data for training models or any other purposes. All processed information is solely accessible to you. This means that no employees at Noteless or other involved data processors have access. To maintain the highest level of security, all data processing is conducted within the EU, in full compliance with the EU General Data Protection Regulation (GDPR). Temporary data storage occurs on dedicated, private Microsoft Azure servers located in Norway.

Note Anonymization

Noteless transcribes everything said during consultations and dictations. A de-identification algorithm is applied when generating notes, systematically removing any personally identifiable information to ensure that the final notes remain completely anonymous.

Automatic Data Deletion

Only you have access to your transcriptions and anonymized notes through your two-factor authenticated user interface. This allows you to review and finalize the notes before transferring them to your journal system. Transcripts and notes are automatically and permanently deleted after 24 hours, with the option to manually delete them beforehand.

Information for Patients

Noteless prioritizes patient safety. To ensure patients understand the technology and feel assured that their health information is handled securely, we’ve developed resources for you to share. This includes a printable information sheet and information slides for vertical and horisontal screens, both of which can be displayed in your clinic’s waiting room.

Full Transparency

We operate with complete transparency in our security practices. If a security incident occurs that affects your data, we notify you promptly in line with GDPR guidelines. Furthermore, we continuously share updates on new security measures we implement to ensure our services meet the highest standards.

What happens to disclosed personal data?

Everything said in consultations and dictations is transcribed into text and anonymized during further processing. This is an additional security step that protects privacy by ensuring the information in the notes cannot be traced back to healthcare professionals or patients.

How does two-factor authentication protect my data?

We employ two-factor authentication methods that offer strong protection by utilizing a physical or digital certificate to verify your identity. This approach is more secure than traditional methods and effectively safeguards against unauthorized access.

Can Noteless access and use my data?

No, our employees do not have access to your transcriptions or anonymized notes. Only you have access to your data through your secure user interface. Neither Noteless nor any of our affiliated third parties collect, store, or use your data for any purposes.

Am I required to inform the patient about Noteless?

According to the World Health Organization (WHO), healthcare providers are required to inform patients about the use of artificial intelligence, just as they must disclose which electronic health record (EHR) system is used. As such, we encourage customers to inform patients about the use of Noteless, and have created information resources dedicated to this purpose, as displayed in the section below.

Does Noteless sell user data?

No, we do not sell user data, nor will we ever do so. In fact, we do not collect any data that could be sold.
